Who we are
BCS Freight Network, LLC ("BCS", "we", "us") runs the Broker Carrier Summit events, the website at brokercarriersummit.com, and the BCS attendee app. Broker Carrier Summit is a Catalyst event.

What we collect
- Registration details: your name, email address, phone number, company, company type, job title, city and state, USDOT number if you give one, ticket type, any discount code, and your acceptance of the ticket policy.
- Optional event details: dietary needs, accessibility needs, and an emergency contact (name, phone number, relationship). You do not have to give these. We use them only to host you at the event.
- App profile (optional): a photo, a short bio, your LinkedIn address, your professional interests, and what you are looking for at the event.
- Directory setting: whether you want to be listed in the attendee directory.
- Payments: ticket payments are processed by Stripe. We receive the payment status, amount, and a receipt link. We never receive or store your full card number.
- Sign-in: an access code we create and email to you so you can sign in to the app.
- Messages to us: what you send through our contact form or by email.
- Basic usage data: pages viewed, device type, browser, operating system, and a random session ID stored in your browser. We use this to understand how the site is used and to fix problems. We do not use it for advertising.
How we use it
- To register you, issue your ticket, check you in, and print your badge.
- To email your confirmation, receipt, access code, and updates about the event you registered for.
- To plan meals, accessibility support, and safety at the event.
- To run the attendee directory in the app.
- To share attendee lists with the sponsors of the event you register for, as described below.
- To answer your questions and requests.
- To keep accounting and tax records.
- To protect the site, the app, and our attendees from fraud and misuse.
- To improve our events, website, and app.
The attendee directory
The app includes a directory of attendees for your event. Every confirmed attendee is listed by default. To view the directory, you must first opt in inside the app. Only other confirmed attendees of the same event who are signed in to the app and have opted in can see it. They can see your name, job title, company, company type, city and state, photo, and LinkedIn address.
The directory never shows your email address, phone number, access code, emergency contact, dietary or accessibility details, or payment information.
You can hide yourself from the directory at any time in the app under Profile, then turn off "Visible in Directory". The change takes effect right away. You can also email us and we will do it for you.
Who we share it with
Event sponsors: we share attendee lists with the sponsors of the event you register for. The list includes your name, job title, company, and the contact details you provided at registration, such as your email address and phone number. Sponsors may contact you about their products and services. Once a sponsor receives the list, it handles that information under its own privacy policy.
Service providers that help us run BCS:
- Stripe, to process payments.
- Base44, which hosts our website, app, and database.
- Google, to send email.
- HubSpot, to manage our contact records and event communications.
- Twilio, to send event text messages if you gave us a mobile number.
We may also share information if the law requires it or to protect the safety of our attendees.
Your choices and how to opt out
- Directory: turn off "Visible in Directory" in the app under Profile. Viewing the directory is always your choice: it only opens after you opt in.
- Marketing email: use the unsubscribe link in any marketing email, or email us.
- Text messages: reply STOP to any text from us, or email us.
- Profile details: edit or clear them any time in the app under Profile.
We will still send messages you need about a ticket you bought, such as your receipt and important event changes.
How to delete your information
In the app: go to Profile, then Delete Account. This removes your app profile (photo, bio, LinkedIn, interests), hides you from the directory, removes any app connections and messages, and turns off your access code.
On the web: use the account deletion page, or email contact@brokercarriersummit.com from the address you registered with.
We keep your ticket and payment record (name, email, company, job title, ticket type, and payment details) so your ticket stays valid and for accounting and tax purposes. Deleting your app account does not change attendee lists already shared with event sponsors. If you would also like us to erase the rest of your registration details, email us and we will do so unless the law requires us to keep them.
How long we keep information
We keep registration and payment records as long as needed for the event, accounting and legal obligations (generally up to 7 years for payment records), and delete app profile details on request.
Security
We use access codes, server-side checks, and our providers' security controls to protect your information. No system is perfectly secure, so please keep your access code private.
Children
Our events, website, and app are for business professionals age 18 and over. We do not knowingly collect information from children.
Changes to this policy
If we make important changes we will update this page and change the effective date above.
